This notice explains how Silkcrayon Ltd uses information connected with studio customers and bookings.

Who we are

Information we use

We may process your name, artist name, contact details, booking history, session information, payment status, studio-credit records, communications, policy acceptances and information you choose to provide about your project. For Dry Hire, we may temporarily process a photo of the lead hirer’s passport or driving licence for age and identity verification.

Why we use it

We use information to take and administer bookings, provide studio services, take and reconcile payments, communicate about sessions, maintain business and accounting records, protect the studio and improve our service. Where required, processing is based on performance of a contract, legal obligations, legitimate interests or consent.

Payments & service providers

Payments and parts of our booking infrastructure are handled by specialist service providers. We share only information reasonably required to operate those services. Card details are not intended to be stored directly in the Silkcrayon booking database.

Marketing

Marketing preference is separate from the acceptance required to make a booking. Where we rely on consent, you can withdraw it at any time. Operational booking messages may still be sent where needed to provide the service.

Dry Hire ID checks

Dry Hire ID photos are stored privately and are accessible only to authorised Silkcrayon owners through short-lived secure links. The image is deleted immediately after verification, or automatically within 7 days of submission if it has not been reviewed. We retain the verification result, date and method so returning dry-hire customers do not need to upload ID every time.

Retention

Studio project/session files are retained for up to 12 months. Other business, transaction and accounting records may need to be retained for longer where required for legal, tax, dispute-resolution or legitimate business purposes.

Your rights

Depending on the circumstances, UK data-protection law gives you rights relating to access, correction, deletion, restriction, objection, portability and withdrawal of consent. Contact info@silkcrayon.com to make a request. You also have the right to complain to the UK Information Commissioner’s Office.

Updates

We may update this notice as the service changes. The version applying to a booking can be recorded with that booking.
